FOR PROPERTY MANAGERS

Better property information. Less back and forth.

Rent Ready Reports gives Property Managers clearer inspection information to work with — helping them communicate with tenants, discuss maintenance with owners, brief trades and build a more useful property record over time.

MAKE THE NEXT STEP EASIER

Property management involves enough chasing already.

When property information is incomplete, even a simple maintenance issue can create extra calls, emails and follow-up — asking tenants for photos, clarifying locations, explaining findings to owners or giving trades enough information to understand what they are attending.

Clearer inspection information

Structured observations, photographs and property locations give Property Managers a clearer starting point.

Better owner conversations

Separate immediate maintenance from preventive items and provide useful context for owner conversations and informed next steps.

Better information for trades

Selected maintenance items can be provided to a preferred trade or contractor with the relevant photos, location and observed issue — without owner pricing or unrelated property information.

A more useful property record

Bring current condition, maintenance priorities, preventive planning and available maintenance history together over time.

ONE INSPECTION. INFORMATION THAT CAN KEEP MOVING.

Capture the information once. Use it where it is needed.

The same inspection information can support different parts of the property management workflow without sending every audience the same report.

01 — INSPECT

Property condition, observations, photographs and relevant maintenance findings are recorded during the inspection.

02 — REVIEW

The Property Manager receives structured information and can review immediate and preventive maintenance items.

03 — DISCUSS

Owner-facing property information can support maintenance conversations, indicative planning and informed next steps — while approvals remain with the Property Manager and owner.

04 — ACTION

Relevant maintenance items can be provided to the appropriate trade or contractor without exposing owner pricing or unrelated findings.

The Property Manager remains at the centre of the process.

WHEN WORK NEEDS TO PROGRESS

Give the trade useful information before they attend.

Instead of starting with a short maintenance description and then chasing additional information, Property Managers can select the relevant maintenance items and generate a Trade Work Report for their preferred trade or contractor.

TRADE WORK REPORT

Example maintenance item

Chipped and peeling paint on a hallway wall

Location: Hallway
Observed issue: Paint is chipped and peeling on the lower section of the wall.
Relevant information: Prepare affected area and repaint as appropriate.
Priority: Preventive Maintenance
Suggested timeframe: Within 6 months

Selected items only · Relevant photographs · Item location · Observed issue · Recommended action · Priority / timeframe where relevant

No owner pricing, tenant information or unrelated property findings are included.

FROM FINDING TO DECISION

Give owners more than a list of problems.

Rent Ready Reports separates maintenance requiring attention from items that may benefit from preventive planning, giving Property Managers clearer information for discussing priorities, indicative allowances and possible timeframes with owners.

What needs attention now

Clearly identify Action Required findings that may need maintenance or further assessment.

What may need attention later

Record visible wear and deterioration that may benefit from preventive maintenance over the months ahead.

What it may mean for the property

Bring maintenance priorities, preventive planning and available history together to create a clearer long-term property picture.

THREE REPORTS. THREE AUDIENCES.

The right information for the right audience.

One inspection produces three purpose-built reports so Property Managers can share the right information with the person receiving it.

General Inspection Report

Property Manager + Tenant

Clear property condition information without private owner pricing or decision information.

Maintenance & Planning Report

Property Manager + Owner

Private maintenance and planning information for the Property Manager and owner, including Amber and Red findings, photographs, recommendations, suggested timeframes, indicative planning cost ranges, the Indicative Maintenance Cost Summary, Preventive Maintenance Plan and Future Maintenance Timeline. Indicative ranges are for planning only, not contractor quotations.

Trade Work Report

Property Manager + Trade / Contractor

Selected maintenance items, relevant photographs, locations and observations without owner pricing or unrelated findings.

A MORE CONSISTENT PROCESS

Useful property information shouldn’t live across emails, photos and people’s memory.

A structured inspection and reporting process can help Property Managers work from clearer information while building a more useful record of each property over time.

Consistent reporting

A repeatable inspection structure across properties.

Clearer handovers

Give another Property Manager useful context without relying entirely on previous conversations or inbox history.

Better maintenance records

Build on previous inspection and maintenance information where available.

More informed planning

Help owners see both current priorities and maintenance that may be coming next.

CLEAR PROFESSIONAL BOUNDARIES

Clear information without stepping into specialist advice.

Rent Ready Reports provides a non-licensed visual property assessment of accessible areas. The service does not provide structural, electrical, plumbing, gas, pest, engineering, building certification or other specialist inspections. Where an obvious visible concern may involve a specialist system, the report can recommend further assessment or repair by the appropriate licensed trade or qualified professional.
